Professional learning
The EMS team is committed to supporting your school to ensure that you can get the most out of EMS360 software.
This checklist outlines the key steps involved in setting up and using the EMS360 professional learning module for successful implementation in your school.
System administrator setup
(Requires system administrator access.)
Assign Professional Learning roles
Navigate to Administration > Staff > Staff details
Assign the Professional Learning Approver role to staff who will provide initial approval for professional learning requests.
Assign the Professional Learning Manager role to staff with full access and final approval authority.
Professional Learning notifications options
Go to Setup > EMS360 Site > Site Configuration.
Check the PL- enable automatic confirmation emails if you prefer automated emails. However, it's recommended to send them manually after verifying details on the participants screen.
Minimum notice for Professional Learning requests
Go to Setup > EMS360 Site > Site Configuration.
Enter a value for Minimum days before PL start date to require a minimum number of days' notice before submitting PL requests.
Click Save to apply the change.
Module setup
Professional Learning categories (required)
Go to Setup > Professional Development > Professional Learning Categories.
Add categories associated with your PL events (e.g., conferences, workshops).
Professional Learning budget groups and codes (optional)
Define budget groups and codes associated with PL if needed:
Go to Setup > Professional Development > Professional Learning Budget Groups for budget groups.
Go to Setup > Professional Development > Professional Learning Budget Codes for budget codes.
Professional Learning Groups (optional)
Create pre-defined staff groups for PL events (optional):
Go to Setup > Professional Development > Professional Learning Groups.
Click Add Professional Learning Group.
Drag and drop staff members from the available list to the desired
group.
Block out dates (optional)
Go to Setup > Communication > Block Out Dates.
Add dates or date ranges where PL applications will not be approved. Staff can still apply but will be notified of potential rejection due to the block out period.
Professional Learning reports
Familiarise yourself with all the reports available for professional learning.
Go to Administration > Professional Development > Professional Learning Reports section.
Pilot testing and training
Conduct a pilot test
Enter test professional learning events into the system.
Have selected staff complete the PL application process.
Test data can be deleted later.
Provide training
Train relevant staff on the PL policy, procedures, and application process.
Feedback and continuous improvement
Gather feedback
Use the EMS360 survey module to collect staff feedback.
Adjust processes as needed.
Schedule regular reviews
Set periodic reviews (e.g., termly, biannually, or annually) to:
Assess process effectiveness.
Identify areas for improvement.
